Submission of Abstracts for Posters Using the ACS MAPS

The 26th BCCE is using the American Chemical Society MAPS system for submission of abstracts for posters. The 25th BCCE used this system for their conference, and members of DivCHED BCC and DivCHED ExCom are still working on fixing issues in MAPS relative to the BCCE – your patience is appreciated. The Meeting Abstracts Programming System (MAPS) is the on-line national meeting programming system of the American Chemical Society, used by ACS authors, program chairs and symposium organizers to submit, view, review and edit abstracts for ACS National Meeting publications. The MAPS Submission Center allows you to submit an abstract or view previously-submitted abstracts. The BCCE program committee will use what you submit to MAPS as what will be posted in the program guide and on the 26th BCCE website.

In order to submit an abstract for a poster, you will need to select the poster symposium from the list of the 26th BCCE symposia on the ACS MAPS website. Prof. John Gelder is the 26th BCCE poster organizer. Upon submission of your abstract, an e-mail message will be sent to the individual whose e-mail address is submitted as the presenter on the abstract form. Submission of an abstract does not guarantee that your abstract will be accepted to the symposium you submitted it to or even acceptance to the BCCE program. The BCCE program chairs and the BCCE poster chairs will make a decision about the disposition of all abstracts. ACS MAPS will send a notice of acceptance or decline. The poster chairs will contact you if your abstract is accepted to one of the two poster sessions. We anticipate MAPS and the poster chairs will notify you of acceptance or not sometime around March 30, 2020.

Information About the Poster Sessions

Posters will be presented in the CH2M HILL Alumni Center and in The LaSells Stewart Center in two sessions: Monday and Tuesday 5pm to 7pm coinciding with the Exhibition Area.

Posters for Session One are to be put-up between 9am and 11am or between noon and 3pm Monday, July 20. We are asking for posters from Session One to be removed after the poster session on Monday night or by 9am on Tuesday, July 21.

Posters for Session Two are to be put-up between 9am and 11am or between noon and 3pm Tuesday, July 22. We are asking for posters from Session Two to be removed after the poster session on Tuesday night or by 9am on Wednesday, July 22.

Pushpins will be available at the poster session, but you can use your own pushpins if you bring them.

Poster board numbers supplied by the 26th BCCE program committee will be placed in the upper left-hand corner of each poster spot. This will provide participants with the location of the poster in the poster area. A second number, the unique number assigned to each paper or poster in the 26th BCCE program will be placed in the upper right-hand corner of the poster spot.

Presenters will stand next to their poster and will often have a short 2 minute explanation of the information on the poster. Participants walk around and spend time reading the information on the poster and asking questions of the presenter. Presenters are expected to display and discuss their results and answer questions from other attendees. Poster presenters must remain with their posters for the duration of the poster session as indicated in the technical program.

During the last 40 minutes of the poster session the “even-numbered” poster presenters are off duty between 6:20pm and 6:40pm and the “odd-numbered” poster presenters are off duty between 6:40pm and 7pm. This provides the poster presenters an opportunity to visit other posters.

On Monday and Tuesday, conference attendees (and poster presenters) have additional time between 3pm and 5pm to view the posters without the authors being present.

Our OSU display boards for the posters are 96" wide by 46" tall. Each poster should be built at 48" wide x 36" tall (4 foot x 3 foot) in order to fit two posters on each display and to allow room for placement/location numbers. Your poster should be built in a horizontal format.

All presentations must be confined to the display board itself. Computer equipment, sound or projection equipment, freestanding or three-dimensional displays, demonstrations/experiments, or tables for handout materials are not permitted in the poster session areas.

Design Suggestions for Scientific Research and Scholarly Posters

All posters should feature a title, your name, the name of the institution where the research was performed and should credit other contributors, as appropriate. Use a crisp, clean design. All lettering should be legible from about 5 feet (1.5 m) away. Title lettering should be about 2" to 3" (5 cm to 7.5 cm). Subheading lettering should be 1/2" to 1" high (1.25 cm to 2.5 cm). Text lettering should be approximately 24 points (1/4"/.625 cm). Make illustrations simple and bold, with captions at least 3/8" high. Enlarge photos, tables and charts to show pertinent details clearly. Do not tell the entire research or project history. Present only enough data to support your conclusions and show the originality of the work. The best posters display a succinct statement of major conclusions at the beginning, followed by supporting text and a brief summary at the end. Displayed materials should be self-explanatory, freeing you for discussion. Use color to add emphasis and clarity. Simplicity, ease of reading, etc., are more important than artistic flair. Keep in mind that lighting may be dim inside large poster sessions, so make sure your contrasts and color combinations are easy to read.

For ease of transport, make posters small enough to package and carry. One can make posters at Federal Express and one can purchase poster tubes (for transporting rolled up posters) at Federal Express. BCCE will provide a reasonable supply of push-pins, although it is wise to bring your own. All material must be removable. You may not write, paint, or use paste on the poster display board provided by OSU.

You may want to bring handouts of your abstract or copies of your data and conclusions to share with interested viewers. Some authors also provide sign-up sheets to record names and addresses of attendees who might wish more information, reprints, etc.

Example of a Horizontal Poster. This is an acceptable format for the 26th BCCE.

Example of a Vertical Poster. This is not an acceptable format for the 26th BCCE. Although the content on this poster is excellent, this is not an acceptable format for the 26th BCCE because the poster is too long – the length exceeds 36 inches.

1) The use of any device to capture, stream, upload or rebroadcast speakers or presentations to any public media site or network is strictly prohibited without the express written consent of the ACS Division of Chemical Education (DivCHED).

2) Unless expressly prohibited by the 26th BCCE program committee, symposium organizer or presenter, cameras, camera phones, and tablet cameras may only be used to:

  • capture images of presenters and other participants at the end of presentations with appropriate permissions of those photographed
  • capture images used in note taking apps as long as the notes are for personal use and are not shared with any other individual or posted on any electronic or hardcopy sites

3) Any other use is strictly prohibited at all official ACS DivCHED meetings and events without the express written consent from the ACS DivCHED.
